Who we are
Hire Australia is the recruitment service of Hire AU Agency, operated by The Trustee for PRD Holdings Trust, ABN 50 863 892 039. This policy explains how we handle personal information through HireAU.com.au and our recruitment enquiries. What we collect
For an employer enquiry, we collect your name, email address, phone number, organisation, the role or capability needed, location and any details you choose to provide about the hiring requirement.
For a candidate introduction, we collect your name, email address, phone number, career interests, preferred regions and the background or availability details you choose to provide. The introductory website form does not request a CV, identity documents, visa documents, date of birth or health information. Please do not include sensitive information in its free-text fields.
For other enquiries, we collect your name, email address, phone number, enquiry type and message. Our website and service providers may also process limited technical information, such as IP addresses, request timestamps and security logs, to operate and protect the website.
If recruitment progresses, we may need further information about qualifications, experience, references or work rights. We will explain what is required, why it is needed and how to provide it through the appropriate channel. We do not use the introductory form to carry out an automated hiring decision.
Why we use your information
We use information to respond to you, understand a recruitment need, assess and discuss suitable opportunities, coordinate introductions, operate the service, prevent abuse and meet applicable legal requirements.
You can choose whether to hear about future relevant recruitment opportunities. That choice is separate from our response to your current enquiry and can be withdrawn by contacting us. We do not subscribe you to general marketing merely because you submit a form.
The required form fields allow us to understand and respond to your enquiry. If you do not provide them, we may be unable to respond or assess a relevant opportunity. Optional fields can be left blank.
How we collect it
We usually collect information directly from you through a form or a subsequent conversation. Where an employer, referee or another authorised source supplies information about you, we will handle it for the relevant recruitment purpose and provide further information about the collection where required.
Who receives it
Our authorised team members and contracted technology providers may access information where necessary to operate the recruitment service and website. Providers include website hosting and security, transactional email delivery and Microsoft 365 email services. Our public content-management system is not used to store employer enquiries or candidate records.
For candidates, we discuss a relevant role and the proposed introduction with you before sharing your profile with an employer. We do not publish candidate introductions on the website. Information may also be disclosed where you authorise us, where legally required, or where another lawful basis permits it.
Migration advice, where relevant, is a separate service. We explain any proposed referral and associated information sharing before making it; a recruitment enquiry is not an automatic migration-service engagement.
Service providers and overseas handling
Vercel hosts and protects the website and processes enquiry requests. The enquiry function is configured for Sydney, Australia; Vercel's global delivery, security and support services may also process technical information in the United States and other countries where its providers operate.
Twilio SendGrid delivers enquiry emails through its global service, which involves processing in the United States. Microsoft 365 / Exchange Online receives and stores the emails in our business mailboxes; Microsoft's data-residency arrangements and global support and security operations apply. We do not claim that email information is handled exclusively in Australia.
Cloudflare provides domain name services through its global network, with technical metadata potentially processed in the United States and European Union. Sanity manages published website content only; employer enquiries, candidate introductions and CVs are not sent to it. We do not send enquiry content to an AI service for assessment or decision-making.
We take reasonable steps appropriate to our obligations when using these services. Their processing locations and subprocessors may change; you can contact us for current information about the providers relevant to your enquiry.
Security and retention
We apply access controls, limit the information collected and use appropriate technical and organisational measures to protect it. No internet service is risk-free, so please do not send identity records or other sensitive documents through the introductory form.
We retain information for the recruitment or enquiry purpose and any applicable legal or record-keeping needs. We review inactive website enquiries after 24 months without relevant contact, and delete or de-identify information that is no longer needed, subject to legal retention requirements. An ongoing recruitment relationship or a separate service may require a different period, which we will explain where relevant. Backups and provider logs follow their own retention and deletion cycles; a review date does not mean every copy is automatically deleted on that date.
Cookies and website measurement
The public website has no advertising trackers, analytics scripts, embedded scheduling tools or visitor accounts. It does not store your form details in browser local storage. After an accepted enquiry, an essential, secure receipt cookie lasts up to five minutes so that the confirmation page can verify submission; it contains no enquiry text or contact details.
Hosting security services process technical request information to limit abuse. Operational enquiry emails have open and click tracking disabled. If optional measurement or tracking is introduced later, we will update this policy and provide any notices or choices required before using it.
Access, correction and other requests
Use the postal address above or choose Privacy / my information on our Contact page to request access to or correction of your information, withdraw a future-contact preference, or ask us to delete information that is no longer required. We may need to verify your identity in a proportionate way. Some records may need to be retained for legal or other legitimate reasons; we will explain the position rather than promising unconditional deletion of every record.
Complaints
Please tell us what happened and how you would like us to respond. We will acknowledge and investigate privacy concerns and communicate the outcome. If you are not satisfied, you may be able to contact the Office of the Australian Information Commissioner or another relevant regulator, depending on the law that applies to the matter.
Changes
We may update this policy as our services and data-handling arrangements change. The effective date above identifies the current version. Material changes to a new use of your information will be communicated where required.
